Who each one suits

Sunsama suits you if you plan each day deliberately and want the calendar and the task list in one view. It syncs both ways with Google, Outlook, Apple and CalDAV calendars, creates a calendar event when you timebox a task, and pulls in tasks from tools such as Asana, Jira, Linear, Trello, Todoist and Notion. It has iOS, Android, macOS, Windows and Linux apps.

Prior suits you if you want a planner that places your open tasks in the free hours of your calendar by itself, without writing to the calendar, next to habits, notes and flashcards, with a free plan. It runs on the web, macOS, Windows, Linux and Android. It has no iOS app yet: on an iPhone you open the web app in the browser, where reminders only fire while the tab is open.

Where Sunsama goes further

  • Two-way calendar sync. Timeboxing a task creates an event on your Google, Outlook or Apple calendar. Prior reads Google Calendar, ICS files and calendar URLs and never writes to them.
  • A guided day. Daily planning that shows how your tasks fit around meetings, with task projections against your shutdown time.
  • Tasks from other tools. Integrations with Asana, ClickUp, GitHub, Jira, Linear, Monday.com, Trello, Notion and Todoist, and with Gmail, Outlook, Slack and Microsoft Teams.
  • An iOS app, and time tracking shown on the calendar once a task is done.

What Prior does differently

On Pro the planner takes every open task, its priority, its deadline and your estimate, and fills your free working hours, with lunch, a buffer around events, breaks and a daily cap, without you triggering it task by task. It recomputes when a task, a habit, an event or a setting changes, and every 5 minutes. The plan is derived: it is not written to a task or to your calendar until you lock a block.

Prior also has an evening wrap-up and a weekly review, which work offline. See Time blocking and Evening wrap-up.

Switching from Sunsama

Prior has no Sunsama option in its importer, but Sunsama can export your data. In Sunsama open Account Settings, then Account Management → Export my data, and choose CSV or JSON. Sunsama lists task name, notes, assignee, completed and start dates, due date, subtasks, channel, planned time and priorities among the exported fields, for your primary workspace only.

Then open Settings → Import, choose Other and add the CSV. Prior finds columns by their names and shows the mapping and a preview, so open the file once: where a column is matched wrongly, change it. Channels have no direct match, so map the column to Project if you want them as projects. Nothing is saved until you confirm. The steps are in Import your data.
