Roles and permissions
What an owner, an editor and a viewer can do in a shared project, from editing tasks and commenting to inviting people and deleting the project.
Every person in a shared project has one of three roles. The owner is the person who created the project. The owner gives everyone else the role Editor or Viewer when inviting them, and can change it later. Prior checks the role on its servers for every read and every change, not only in the app.
What each role can do
| Owner | Editor | Viewer | |
|---|---|---|---|
| See the project, its tasks, shared notes, comments, activity and members | Yes | Yes | Yes |
| See who is online | Yes | Yes | Yes |
| Create, edit, move, complete and delete tasks | Yes | Yes | No |
| Assign tasks | Yes | Yes | No |
| Write comments, and edit or delete your own | Yes | Yes | No |
| Delete other people's comments | Yes | No | No |
| Write in shared notes | Yes | Yes | No, read only |
| Edit the project: name, icon, status, type, dates, milestones, cycles | Yes | Yes | No |
| Vote and estimate in Planning Poker | Yes | Yes | No, watch only |
| Start a Planning Poker session | Yes | Yes | No |
| Invite people, change roles, remove members | Yes | No | No |
| Create and turn off invitation links | Yes | No | No |
| Delete the project | Yes | No | No |
| Leave the project | No | Yes | Yes |
For a viewer, the buttons that add or move tasks are hidden. In an agile project a notice also says "You have view-only access. Ask a project owner to make changes." In the Share dialog, editors read "Only the project owner can invite people and change their roles."
Change a role or remove someone
The owner opens Share, then People, and uses the menu next to a name: choose Editor or Viewer, or Remove from project. A removal asks for confirmation and takes effect at once. The person loses access to the project, and the shared notes they had open close.
A role change also takes effect at once. A member turned into a viewer stops being able to type in an open shared note.
What a role does not give
- A role covers one project. Members never see your other projects or your tasks outside it. A personal note linked to a shared project stays yours until you choose to share it with the project.
- The owner's plan sets how many people fit and whether the project can use Scrum, Scrumban, Planning Poker and burn charts. Your own plan does not change that, but it does decide your own Prior AI. See Share a project and Choose Kanban, Scrum or Scrumban.
- An AI assistant connected to your account has your role, not more. A viewer cannot edit through an assistant either.
If the owner leaves Prior
When an owner deletes their account, the project goes to the oldest remaining editor, or to the oldest member if there is no editor, and that person becomes the owner. Their tasks in the project move to the new owner. A project with nobody else in it is deleted.
