Write a shared note live with your team

Edit one note together in real time, see each person's cursor, share a personal note with a project, and know what viewers and editors can do.

A shared note belongs to a project that other people can open. Everyone in the project can read it. Owners and editors write in it together, at the same time, and see each other's cursor.

Create or share a note

  • Create one: open the project's Notes tab and choose New note. In a shared project, this makes a shared note. On the Notes page, the + in the project's heading does the same (New shared note).
  • Share one of yours: open a personal note linked to the project and choose Share with the project. It is a button above the note in the project's Notes tab, and an entry in More actions on the Notes page. Confirm. The shared note keeps the title and text, and your personal copy goes to the trash. Nothing is uploaded until you confirm.

A project becomes shared when you invite people to it: see Share a project. How many people you can invite depends on your plan: see Plans and pricing.

Write together

  • Who is here. The avatars at the top right are the other people in the note now, each ringed in their own color. Past four, a + count shows the rest.
  • Cursors. Each person's cursor and selection appear in their color, with their name above it while they type or move. Beside a block that someone is in, a bar in their color shows where they are.
  • Status. Next to the avatars, a label tells you the connection: Live, Saving…, Connecting…, Reconnecting… or Offline – changes will sync. If you lose your connection, editors can keep typing, and the changes join the note when you are back.
  • Undo. Cmd+Z (Ctrl+Z on Windows and Linux) undoes your own edits only, never someone else's.
  • Title. Editors rename the note in the title field. Everyone sees the new name at once.

The editor is the one from personal notes: see Write in the note editor, with the same tables, charts, callouts and toggles.

What each role can do

RoleIn a shared note
Owner and editorsRead, write, rename, create notes, move a note to the trash
ViewersRead live. The note shows Read only: "You can read this note live. Only the project's editors can change it."

Roles are set per project: see Roles and permissions. When an owner changes your role, the note updates at once. If you lose access, the note closes with "You no longer have access to this note."

When two people edit the same place

Edits are kept as small as possible, so nothing is overwritten.

  • Different cells of a table, or a row added while someone types: everything is kept.
  • Typing in the same cell, or at the same spot: both texts stay.
  • A row deleted while someone types in it: the typed words stay, moved to the next row.
  • Sorting a table rewrites its rows in one go. It is the one action that can overwrite a word typed in the same instant.

Move a note to the trash

Editors choose More actions, then Move to trash, and confirm. The note disappears for everyone in the project, and anyone who has it open sees "This note was moved to the trash." Trash, at the bottom of the project's notes, lists them: owners and editors can bring one back with Restore, viewers only see the list.

Differences from personal notes

  • A shared note has no folders, favorites or tabs, and no attachments. A line copied from a personal note shows Attachment unavailable.
  • Links with [[Note title]] do not open another note.
  • Very large changes can be too large to sync, around 256 KB at once. The status then reads Too large to sync: split the note into smaller ones.
  • When Prior AI changes a shared note, it edits only the words that change, so cursors stay where they are. You still confirm each change first. See Page context.
  • Shared notes you created are part of your data export.
