Share a project
Invite people to a project by email or with a link, choose what each person can do, and check how many people your plan allows.
Sharing a project lets other people open it, read its tasks and shared notes, and, as editors, work on it with you. Only that project is shared: your other projects, your tasks outside it and your personal notes stay private. You need a Prior account to share, because the project syncs to it first.

Invite people
- Open the project and choose Share in its header. On a phone, tap the avatars at the top of the project, or open the project menu and choose Share.
- Type one or more email addresses. Separate them with commas or spaces: each address becomes a chip.
- Pick a role next to the field: Editor (can create and change tasks) or Viewer (can see the project without changing it).
- Choose Invite.
Prior shows the result for each address. The person gets an email and, if they already have an account, a notification in Prior. The invitation lasts 7 days, and nobody joins before they accept it. If the email could not be sent, Prior says so and gives you the link to send yourself.
If an address already belongs to a member, Prior changes that member's role instead. Details on what the invited person sees are in Send and accept project invitations.
What the share dialog holds
- People: the members with their roles, and the pending invitations with the days they have left. The owner changes a role or removes someone from the menu next to each name.
- Invitation link: an editor link and a viewer link you can post anywhere. Owners only. See Invite people with a link.
- Copy project link: copies the address of the project. It opens only for the people listed, so it is not an invitation.
- Leave project: for members who are not the owner. See Leave a project.
How many people fit
The limits follow the plan of the project's owner. The owner counts as one person, and pending invitations count too.
| Plan | People in one shared project | Shared projects you own |
|---|---|---|
| Free | 2 | 3 |
| Pro | 10 | No limit |
| Team | 50 | No limit |
| Enterprise | No limit | No limit |
When you reach a limit, Prior says so and links to the plans. Inviting someone who is already in the project, or already invited, does not count twice. If your plan changes, the people already in a project stay. Prices are on Plans and pricing.
Good to know
- Only the owner invites people, changes roles and removes members. See Roles and permissions.
- Everyone in the project sees the member list and who is online.
- A shared project needs a connection. Offline, Prior shows it read-only until you reconnect.
- An account can send 60 invitations or invitation links per hour.
- If you are signed out, Share explains that sharing needs an account and offers to sign in.
